Your team and roles

Give the people who confirm, dispatch and manage stock their own login. Each person holds one or more roles, and the roles decide what they can see and do. Open Settings, then Team.

Staff and delivery agents

Staff sign in to Kushi. Delivery agents carry stock and collect cash; they don't sign in or use seats, and you add them on the Agents page. See Delivery agents.

Seats on each plan

Plan Staff seats
Hustler 1
Growth 10
Scale and Titan Unlimited

You count as one seat. A pending invite also takes a seat until it is accepted or cancelled. The Staff seats meter on the Team page shows how many are in use. When every seat is taken, the invite form is switched off; cancel a pending invite or upgrade. See Plans and billing.

Invite a teammate

  1. Under Invite a teammate, type their Email.
  2. Pick a Role. If you leave it on the default, they join as Order Confirmation: they see and update every order to confirm buyers, and nothing else. (Older workspaces that still have a Sales Rep role and no Order Confirmation role use Sales Rep.)
  3. Choose Send invite.

You need a role that can invite teammates to send or cancel invites. Only someone with a full-access role, such as Admin/CEO, can invite a teammate straight into a full-access role.

The invite shows under Waiting to join with the date it was sent and when it expires. Invites last 7 days. To withdraw one, choose Cancel invite.

Accepting an invite

Your teammate gets an email from Kushi Sales with a link. They open it, fill in Your name and a Password of at least 8 characters, then choose Join the team. Their email counts as confirmed because the link went to it. If the link has expired, cancel the old invite and send a new one.

The standard roles

Every new workspace starts with six roles. The person who created the workspace holds Admin/CEO.

Role What it allows
Admin/CEO Everything, including billing, API keys, webhooks and erasing data. Marked Full access.
General Manager All day-to-day work: orders, products, stock, agents, cash, reports, store and team invites. No billing, roles, API keys, webhooks or workspace settings, and no deleting.
Logistics Manager Sees and updates every order, manages agents, records the cash they hand over, sees stock levels.
Inventory Manager Products and stock only. No orders, customers or cash.
Order Confirmation Sees and updates every order to confirm buyers. Nothing else.
Media Buyer The store, campaigns, the Meta pixel and webhooks, and can see products. No customer details or cash.

Change someone's role

  1. Under People, find the person and choose Change role.
  2. Tick or untick roles. Changes apply straight away.
  3. Choose Done.

A person with several roles can do everything those roles allow. Only someone with a full-access role can give or take a full-access role, and you can't remove your own full access if you're the only one holding it.

Removing someone from the team isn't possible yet. To stop them working on orders, take away all their roles.

Make your own roles

Open Settings, then Roles. Custom roles are on every plan.

  1. Choose New role.
  2. Give it a Name, like "Confirmation staff", and an optional Description.
  3. Tick what the role can do. Permissions are grouped as Orders, Products, Stock, Agents & cash, Reports, Store & marketing and Settings.
  4. Choose Create role, then give it to people on the Team page.

You can also Edit or Delete the standard roles, except Admin/CEO.

Who sees which orders

Two order permissions matter most:

  • See orders opens the orders board.
  • See every order, not just their own shows all orders. Without it, a person only sees orders assigned to them.

To assign an order, use Assign to on a new order, Handled by on the order page, or select several orders on the board and use Assign to. Orders from your store link and the API arrive unassigned.

Good to know

  • A new role starts with only "See orders", "See orders assigned to them" and "Confirm, dispatch and update orders" ticked.
  • Viewing reports needs "See reports". Seeing ad spend needs "Send campaigns and set up the Meta pixel".
