Importing and exporting orders

If you kept orders in Google Sheets or another tool, import them. Your buyers' delivery records, including who refused, are then there from your first day on Kushi. Export works the other way: any view of your orders, as a spreadsheet.

Import a CSV file

  1. Save your spreadsheet as a CSV file. In Google Sheets, use File → Download → Comma-separated values.
  2. Make sure the first row holds the column names.
  3. On Orders, choose Import and pick the file.

Kushi reads the file straight away and tells you how many orders it imported, and how many rows it skipped.

Columns Kushi understands

Column names are matched without caring about capitals, spaces or punctuation, so "Phone Number", "phone_number" and "PHONE NUMBER" all work. Only a customer name is required.

Kushi field Column names it accepts
Customer name (required) Customer name, Customer, Name, Full name
Phone Phone number, Phone, Mobile, WhatsApp
Email Email, Email address
Address Delivery address, Address, Location
State State, Region
Item Selected package, Package, Item, Product, Products, SKU
SKU SKU, Product code, Item code, Code
Total Total cost, Total, Amount, Price, Order value, Cost
Delivery cost Delivery cost, Delivery fee, Delivery, Shipping
Stage Status, Order status, Delivery status
Payment Remittance status, Payment status, Payment
Agent Agent, Logistics company, Logistics, Rider, Courier
Notes Rider customer notes, Notes, Note, Comment, Remarks
Order date Date time, Date, Order date, Created at, Timestamp

Amounts can include ₦ and commas, such as ₦12,500. Columns Kushi does not recognise are still kept: open the order and look under Imported columns.

How each row is matched

  • One row is one order with one item. The item gets a quantity of 1 at the row's total.
  • Products. Kushi links the item to a product in your catalogue by SKU, or by a name it has learned or that matches a product. It never creates a product from a spreadsheet. Items it cannot match show Not linked on the order. Link them on Stock → Order links so their stock moves. See Stock.
  • Agents. The agent column is matched to your agents by name. Add your agents before you import so their delivered orders count towards their cash. See Delivery agents.
  • States are matched to Nigerian states where possible, so "lagos" becomes Lagos.
  • Stage. Your stage names are mapped to Kushi's: "Confirmed" becomes Pending, "Shipped" or "Dispatched" become In Transit, and "Cancelled", "Failed" or "Returned" become Rejected. Rows with no stage start in Pending. See Order stages.
  • Payment. Kushi reads the payment column (Payment status, Payment or Remittance status). "Paid", "Prepaid" or "Transfer" mark the order Paid. "COD", "Pay on delivery" or "Cash on delivery" mark it Pay on delivery. "Unpaid", "Not paid", "Pending" or "Due" leave it Not paid, and so does an empty cell or anything else.
  • Order date. Kept from the file. Rows without a date get today's date.

What import does not do

Imported orders are your history, not new sales. So import:

  • sends no emails or messages to buyers,
  • takes nothing out of stock,
  • does not count towards your plan's monthly order limit.

Export to a spreadsheet

On Orders, set the view, search and filters you want, then choose Export. To export only some orders, tick them first and choose Export in the bar at the bottom. The file is named with today's date, for example orders-2026-10-21.csv.

The export has these columns: Ref, Date, Time, Customer, Phone, Address, State, Items, Items total, Collect at door, Delivery cost, Status, Payment, Agent, Handled by, Source and Notes.

Good to know

  • A file can hold up to 5,000 orders. Split bigger files and import them one after another.
  • Rows without a customer name are skipped.
  • Importing the same file twice creates the orders twice. Delete duplicates from the orders list with the bulk bar.
  • You need permission to create orders to see Import.
