What an agent owes you

When an agent delivers a cash-on-delivery order, they collect the money at the door, keep their delivery fee and owe you the rest. Kushi keeps a running balance for every agent so you always know who to collect from.

How the amount is worked out

The moment an order is marked Delivered with an agent set on it, Kushi adds one line to that agent's cash ledger:

Customer pays at the door − delivery cost = cash due from the agent

  • Customer pays at the door is the amount on the order. If you left it empty, it's the items total.
  • If Payment is Paid (the buyer paid you by transfer), the agent collects nothing at the door, so they owe you ₦0 for that order.
  • The delivery cost is the Delivery cost field on the order, under Delivery. It's the agent's fee, and they keep it. If it's empty, it counts as ₦0.
  • The cash due is never below ₦0, even if the delivery cost is more than the cash collected.

For example, a buyer in Ibadan pays ₦25,000 at the door and the agent's delivery cost is ₦3,000. The agent sends you ₦22,000, and that's what goes on their balance.

The order page, the dispatch manifest and the agent's ledger all use this same rule, so the numbers match.

Each order is counted once. If you move a delivered order back to another stage, Kushi adds a Charge reversed line that cancels its cash due. Mark it Delivered again and a fresh line is added.

The balance

An agent's balance is everything due from their delivered orders, minus the cash you've recorded from them. You record cash with Record cash on their card. See Record cash from an agent.

  • A positive balance shows as Cash owed on their card.
  • If you've recorded more than they owe, the card shows Cash owed as ₦0 with Paid ₦… ahead underneath. That credit is used up by their next deliveries.

Orders, Cash to collect view Delivered orders whose Payment isn't set to Paid.

The Cash to collect view on Orders works differently from the agent balance. It lists delivered orders one by one and adds up the full amount the buyer pays at the door, before delivery fees. Recording cash from an agent doesn't change it. To clear an order from that view, set Payment to Paid on the order.

Delivered orders with no agent

If an order is marked Delivered with No agent yet, its cash isn't on anyone's balance. Kushi warns you on Agents and on Today. Open the order and pick the agent under Delivery. The cash due is added to their balance as soon as you do.

Good to know

  • If you change the delivery cost, the agent or Payment on an order that's already Delivered, Kushi puts the balance right for you: a Charge reversed line cancels the old amount and a new Delivered — cash due line adds the right one, on the right agent.
  • Changing the items on a delivered order doesn't redo the cash due. Move the order out of Delivered and back again to redo it.
  • Only roles allowed to see agent cash see these figures.
