Taking an order

When a buyer calls or sends a WhatsApp message, type the order in while you talk. The New order sheet is built for that: phone number first, and a returning buyer fills in by themselves.

Open the New order sheet

  • On a computer, choose New order at the top right, or press N.
  • On your phone, tap the round + button in the middle of the tab bar.

Fill it in

  1. Phone. Type the buyer's number in any common form: 0803 123 4567, +234 803 123 4567 or 8031234567. It must be a Nigerian mobile number.
  2. Customer name. If this number has ordered before, Kushi fills in the name, address, state and email for you. A Returning customer line shows how many orders they placed, how many were delivered and how many they refused.
  3. Delivery address and State. Include the area and a landmark the rider can find.
  4. Items. Search your products by name or SKU and choose one. Each match shows its price and how many are in stock. Choose the same product again to add one more. If the item is not in your catalogue, choose Add "…" as a one-off item and type the price yourself. Adjust the quantity with − and +, and change the price on the line if you agreed a different one.
  5. Money. Check the figures before you save (see below).
  6. Choose Save order, or Save & add another to keep the sheet open for the next buyer.

Save order opens the new order so you can confirm and dispatch it. Every new order starts in Pending. See Order stages.

The money section

Field What to enter
Items total Worked out from your items.
Customer pays at the door What the agent collects. Leave it empty to use the items total, or type a different amount, for example after a discount.
Delivery cost Optional. What you pay the agent for this delivery. The agent keeps it from the cash they send you.

If the buyer has already paid by bank transfer, tick Already paid by transfer — the agent collects nothing. The order is saved as paid.

The bottom of the sheet always shows the amount At the door.

Email, notes and assignment

Open Email, notes and assignment for the extra fields:

  • Email: Kushi sends the buyer a receipt with their tracking link, and an update when the order moves.
  • Assign to: hand the order to a teammate, such as the person who will call the buyer. Left on No one yet, the order stays unassigned. Kushi doesn't pick someone for you, and only teammates who can see every order will see it, so assign it if a caller with a limited view should pick it up.
  • Notes: a landmark, the best time to call, anything the rider should know.

You choose the delivery agent later, when you dispatch. See Confirm, dispatch and deliver.

Warnings to watch

  • Risk label. A returning buyer who has refused before shows Watch or Often refuses next to their history. Call to confirm before you dispatch, and for frequent refusers consider asking for part payment by transfer. See Customers.
  • Low stock. If you add more units than the office holds, the line says how many are in office stock. Check that an agent in that state has the rest.
  • Missing details. If something required is empty, Kushi points to it when you save. A save that fails keeps everything you typed.

Other ways orders arrive

You do not have to type every order. All of these land in the same orders list:

Good to know

  • Saving an order does not take stock out. Units leave your stock when the order is marked Delivered.
  • Press ⌘+Enter or Ctrl+Enter to save from anywhere in the sheet.
  • On the free Hustler plan, orders past 50 in a month are still saved, but buyer details stay hidden until you upgrade. See Plans and billing.
