The orders list

Orders holds every order in your workspace, from every source. The line under the title keeps score: how many to confirm, how many in transit, and how much cash is still to collect.

Views

The tabs across the top follow the cash-on-delivery day. Each shows a count.

View What it shows
All Every order, newest first.
To confirm Pending, Call Back, Follow Up and Rescheduled, oldest first so nobody waits too long.
In transit Orders out with agents, oldest first.
Cash to collect Delivered orders not yet marked Paid, oldest first.
Delivered Every delivered order.
Refused Every rejected order.

The line above the orders adds up what is shown, for example "24 orders · ₦486,000 at the door".

Search and filters

The search box finds orders by buyer name, phone number, order number, item or address. For a phone number, type at least 4 digits.

Next to it you can narrow the list by:

  • Date: Today, Yesterday, or the last 7, 30 or 90 days.
  • Agent: one agent, or No agent yet.
  • State, such as Lagos or Rivers.
  • Stage: any one of the seven stages.
  • Handled by: the teammate the order is assigned to. This appears when you have more than one teammate.
  • Payment: Not paid, Pay on delivery or Paid.

Choose Clear to remove every filter. The page address keeps your view, search and most filters, so you can bookmark it or send it to a teammate.

List or board

The two buttons at the end of the filters switch the layout.

List shows a row per order: the buyer and phone, items, state and agent, the amount at the door, the stage and how old the order is. A buyer who has refused before shows Watch or Often refuses under their name. On a phone, each order is a card with Call and WhatsApp buttons.

Board shows a column per stage, with the next step under each heading. The board shows every stage whatever view tab you are on, but your search and filters still apply. Each column shows up to 40 orders, then a link to the rest in the list.

Changing the stage

You do not have to open an order to move it:

  • On the list, use the stage menu on the row.
  • On order cards, use the button for the next step: Dispatch, then Delivered or Refused.

If you dispatch an order with no agent, Kushi asks Who's delivering? first. Agents in the same state as the order come first and carry a Same state tag. See Confirm, dispatch and deliver.

Working on many orders at once

Tick the box on each order, or the box at the top of the list to select every order shown. A bar appears at the bottom with:

  • Move to…: move them all to one stage.
  • Agent…: set one agent on all of them, or Remove agent.
  • Assign…: hand them to a teammate.
  • Copy: copy all their details at once, one order after another, ready to paste to an agent.
  • Export: download only the selected orders.
  • Delete: remove them for good, with their stock and cash history. To stop an order, mark it Refused instead.

When a change fails for some orders, Kushi says how many were updated and how many failed, and keeps the failed ones selected so you can try again.

Assigning orders to teammates

Assign an order to the person who should call the buyer: with Assign… in the bulk bar, with Handled by on the order, or with Assign to when you take the order. The teammate gets a notification. A teammate whose role cannot see all orders sees only the orders assigned to them. See Team and roles.

Copying an order's details

To send an order to a rider or a logistics partner, copy its details and paste them into WhatsApp. Use the copy button at the end of a row on the list or on an order card, or Copy details on the order's page. You get:

Name: Ngozi Nwosu
Phone: 0803 115 0461
Delivery Address: 11 Example Street, Abuja
Product: Waist Trainer × 1
Amount: ₦22,000
Order: #33475721

Amount is what the agent collects at the door, so an order paid by transfer copies as ₦0 (paid by transfer). Notes on the order are added too. To copy several orders at once, select them and choose Copy in the bar at the bottom.

Exporting

Export at the top downloads the orders in your current view and filters as a CSV file. If you have selected orders, it exports only those. See Importing and exporting orders for the columns.

Good to know

  • Search covers every order in your workspace. While older orders are still loading, the list says so.
  • The list shows 60 orders at first. Use the button at the bottom to show more.
  • Dispatch manifest at the top opens the printable sheets for your agents.
