Buy, write off and correct stock
Every change to your stock goes through one of a few actions, so the History tab can explain every unit. This page covers buying stock, writing off faulty units, correcting counts and linking order names to products.
Buy stock
Record each delivery from your supplier as a purchase.
- Open Stock, then Purchases, and tap Buy stock. You can also tap Buy next to a product on Overview or Products.
- Pick the Product.
- Enter Units bought.
- Enter Cost per unit (₦). Kushi fills in the product's current cost price.
- Optionally add the Supplier and a Note, like the invoice number or batch.
- Check the line that shows the office going from the old count to the new one, and the total paid.
- Tap Record purchase.
The units go into the office. The cost per unit you enter becomes the product's cost price, which Reports use for profit. It replaces the old cost; it isn't averaged.
Purchases shows what you spent and how many units you bought in the last 30 days, and each purchase with its supplier and who recorded it.
Write off faulty stock
When units arrive broken, expire or come back damaged:
- Open Stock, then Faulty, and tap Record faulty. Or tap Faulty next to a product on an agent's card under With agents.
- Pick the Product.
- Under Where is it?, choose the office or the agent holding it.
- Enter Faulty units and What happened, like "broken seal" or "crushed box". Both are required.
- Tap Write off.
The units are removed for good from the office or that agent. Faulty shows units written off and what they cost you in the last 30 days, using each product's cost price.
Correct office stock
After you count the shelf, bring Kushi in line with what's really there.
- Open Stock, then Adjustments, and tap Correct stock.
- Pick the Product.
- Choose I counted the shelf and enter Units counted in the office, or choose Add or remove units and enter the change, like 5 or -3.
- Enter a Reason, like "stock count 11 Oct". It's required.
- Tap Save adjustment.
Corrections only change office stock. Agents' stock isn't touched. To fix what an agent holds, return the units to the office first or record them as faulty.
History
History lists every unit in and out: Bought, Delivered, Faulty, Adjusted, Transfer and Returned. Filter by product or type, or search by product, agent or reference.
Records can't be deleted, because removing one could throw your stock off. To fix a mistake, record the opposite: a correction, a return to the office, or cancel a transfer that hasn't been received.
Order links
Orders that come from your own sales pages, an import or the API sometimes name items differently from your products, like "Glow Soap x2 Promo". Those lines can't take stock out until Kushi knows which product they mean.
- Open Stock, then Order links.
- Under Names that need a product, find the name. Kushi shows how many lines use it and how many are already delivered.
- Pick the product.
- Set Units: how many of the product one line stands for. Leave it at 1 if the price matches one of the product's quantity offers; Kushi reads the offer and its gifts from the price.
- Tap Link.
Every order that already used that name is linked too, and new orders with that name are linked as they arrive. Linked names are listed under Linked names, where you can Remove a link.
Good to know
- Linking doesn't take stock out for orders that were already Delivered before you linked them. After linking, check the office count and use Correct stock if it's off.
- Orders from your Kushi store always use your products, so they never need linking.
- See Where your stock is and Add and manage products.
